Job Summary:
We are seeking a motivated and detail-oriented individual to join our team as a Journal Website Administrator & Administrative Officer. This dual-role position involves maintaining and updating our journal website, managing content, ensuring the smooth operation of the website, and performing a range of administrative duties to support the organization. The ideal candidate will have a blend of technical skills, administrative experience, and a passion for maintaining high-quality digital content.

Key Responsibilities:

Journal Website Administration:

  • Maintain and update the journal website, ensuring all content is current, accurate, and user-friendly.
  • Upload new articles, research papers, and other content to the website, ensuring proper formatting and metadata inclusion.
  • Monitor website performance, address technical issues, and coordinate with IT or external vendors to resolve any problems.
  • Implement and manage SEO strategies to improve website visibility and search engine ranking.
  • Analyze website traffic and user engagement using tools like Google Analytics and provide regular reports.
  • Manage user accounts, including author and reviewer access, and respond to technical support inquiries.
  • Ensure the website complies with accessibility standards and is optimized for mobile devices.
  • Work with the editorial team to ensure the timely publication of content.
  • Regularly back up website content and ensure data security.

Administrative Officer Duties:

  • Perform general administrative duties such as answering phone calls, responding to emails, and managing correspondence.
  • Maintain and update records, databases, and filing systems to ensure accurate and organized documentation.
  • Coordinate and schedule meetings, appointments, and events, and prepare meeting agendas and minutes.
  • Assist in the preparation of reports, presentations, and other documentation as required by management.
  • Manage office supplies and equipment, ensuring that the office is well-stocked and operational.
  • Support HR activities, such as maintaining employee records, assisting with recruitment processes, and organizing training sessions.
  • Handle financial tasks such as processing invoices, managing petty cash, and assisting with budget preparation.
  • Ensure compliance with company policies and procedures, and assist in the development and implementation of new policies.
  • Perform other duties as assigned by management.

Qualifications:

  • Bachelor’s degree in Information Technology, Business Administration, or a related field.
  • Strong understanding of HTML, CSS, JS/jQuery and PHP.
  • Understanding of Linux-based Hosting Servers.
  • 2+ years of experience in website management, digital content administration, or a similar role.
  • Experience in an administrative role, preferably within a corporate or academic environment.
  • Proficiency in website management a strong understanding of SEO, website analytics, and digital marketing.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize workload effectively.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.

Working Conditions:

  • Full-time position with a standard workweek, though some flexibility may be required.
  • May involve occasional travel for conferences or training.
